Event Registration

Who needs to register?

  • Speakers (including invited and keynote speakers), Authors, Program Committee Members, Conference Chairs, Session Chairs, and Attendees:
    • Select the Full meeting plus 50 proceedings downloads option during the first step of online registration
    • Exhibitors who are presenting a paper in a technical session must complete a paid full meeting registration. An exhibitor technical pass does not provide presentation/publication privileges.
  • Students:
    • Post-docs may not register as a student
    • Select the Full meeting plus 50 proceedings downloads option during the first step of online registration. During the Onsite Info section, be sure to designate your student status.
    • You must be an SPIE student member to receive the student discount
    • Student membership is available to individuals enrolled in undergraduate or graduate programs, who have not yet completed a doctorate degree
    • A student membership may be added to your registration order during the Add Ons step of online registration
  • Exhibitors:
    • Must self-register themselves via online registration, choosing Booth Staff on the first step of registration
    • Exhibitors who are also presenting a paper in a technical session must complete a full paid author registration. An exhibitor technical pass does not provide presentation/publication privileges.
  • Exhibition Visitors:
    • Registration is required to attend and is free of charge for most events. Select the Exhibition Only option during the first step of registration.

When does event registration and housing open?

  • Please visit the Events Calendar and open your specific event. From the event webpage, hover over the top bar on Attend and then select Hotel and Travel to see all available dates. Housing generally opens before registration.

Do I need to be a SPIE member to register?

  • Membership is not required, but one of the benefits of membership is reduced registration rates. Our registration process provides an option to purchase a new membership or renewal with your event registration order within the Add Ons step.

How much does it cost to attend the technical conference(s) for one day?

  • The one-day registration fee varies for each event and may only be completed on-site at the registration cashier’s desk. Please contact customerservice@spie.org for more information.

How do I request a refund if I cannot attend?

  • There is a $75 USD service charge for processing refunds
  • Refund requests must be received by the refund deadline for your event, listed on your receipt and all registration materials. All registration fees, including courses, will be forfeited after this date. Membership dues, SPIE Digital Library subscriptions, and special events are not refundable.

Is registration or payment required to attend the exhibitions?

  • Registration is required to attend. At most of our events, exhibition visitor registration is available free of charge. There is a nominal fee to attend the exhibition at the Optifab event.
  • Registration is available online on the conference registration page. During step one of online registration, select Exhibition Only as your registration type. Registration is also available on-site at the event.

What is included with registration?

  • Visit the event homepage and click the Registration header option. Scrolling slightly down, view the What is included with registration header. Courses and Workshops are not included in event registration fee and will have an additional cost when selected during registration.

Attending a SPIE Event

When will I receive my badge?

  • A visual badge preview is available during online registration. You will pick up your physical badge onsite at the event registration desk.

Can someone else pick up my badge?

  • Registrants must personally present their valid photo ID at the registration desk to pick up their badges. Badges will not be issued to anyone other than the registrant.

When will the conference proceedings be published? Where can I view this content?

  • Manuscripts will be officially published approximately six weeks after the event on the SPIE Digital Library. Registrants with proceedings access will be notified via email once content is published. If using our SPIE Conference and Exhibition App to save presentations of interest, users will be notified once those papers have been published to the SPIE Digital Library.

Where can I learn more about how to obtain a visa? How do I request an invitation letter?

Can my family member attend? Can my children attend?

  • All attendees must register for the event and pay the associated registration fee. Badges for all attendees are required. To attend certain conference special events such as a Welcome Reception or Awards Banquet, a purchased guest ticket is required for a non-registrant to attend. Please check the event registration webpage for details.

How do I become a member?

  • Please go to: spie.org/membership, click on Join or Renew and follow the prompts. You must have a SPIE web account before entering a membership order.

Why am I not receiving the membership rate?

  • When you wish to use your membership online, you need to log in to your SPIE web account first. Please go here to log in: spie.org/account/login.

What are the requirements to become a SPIE Senior Member or Fellow?

What is Corporate Membership?

When will our Corporate Membership be active?

  • After payment is processed, please allow four or more hours for system updates. Memberships are retroactive to the first day of the month payment was received in. For questions, please contact us at corporatemembership@spie.org.

When does my Corporate Membership expire?

  • Corporate Membership status and expiration date can be checked on the exhibitor dashboard, accessible if your company has exhibited before and you are signed into your SPIE web account.

Proceedings Authors

How do I submit my manuscript?

I’m a student and I'm presenting a paper. Should I register as Student or Author?

  • During online registration, select the Full meeting plus 50 proceedings downloads option on the first step. During the Onsite Info section, a blue box will populate showing that the system has identified you as an author. Be sure to designate your student status under the “Are you a Student?” question on the Onsite Info page. A Student membership (if you do not already have one) should be added during the next Add Ons section of online registration. Student membership discounts will be presented during the final order review page, prior to payment.

Exhibitors

I would like to exhibit. Is there still space available?

If I am an Exhibitor and a Speaker, do I need to register for the conference?

  • If you are an Exhibitor who is presenting a paper in a technical conference, a paid author registration is required. An Exhibitor technical pass does not provide speaker/publication privileges within our technical conferences.

What access is provided with an exhibitor technical pass? How do I use our company's technical passes?

  • Each company with a booked exhibition space receives a limited number of technical access badges which permit access to view the technical program events. Technical passes are assigned by the company’s designated exhibition liaison who is responsible for the company exhibit and will be provided to assigned persons during badge pickup.
  • An exhibition technical pass does not provide speaker/publication privileges. If you are presenting a paper in the technical conference, you will need to complete a paid author registration to present and have your work published. 

Who can make updates on the Exhibitor Dashboard?

  • Every exhibitor has a designated exhibition liaison (the person responsible for the company exhibit). Exhibition liaisons can log in to their account and update information for both the exhibitor directory listing and the event specific listing on the exhibitor dashboard. If you do not know your own SPIE account credentials for the Exhibitor Dashboard, please contact Customer Service via customerservice@spie.org or +1 360 676 3290/+1 888 504 8171 (toll free).
  • To designate a new exhibitor liaison, contact exhibitions@spie.org providing the full name and email address of the new liaison

How do I log into the Exhibitor Manual for Freeman or Arata Expositions?

  • Please follow the instructions on the email that you received from Arata Expositions or Freeman to access content. Please Note: you cannot use the same login information as the Exhibitor Dashboard. If you have any questions, please contact exhibitions@spie.org.

Why was tax included on my order?

  • Some countries or state/local governments require us to charge tax or VAT, depending in their specific taxation requirements. All tax and VAT charges are based on your shipping address. If you’d like to arrange a tax-exempt order, please contact customerservice@spie.org with your order details. You will need to provide valid tax-exempt documentation from your organization if it is not already on file.

What is my SPIE ID?

  • Log in to your SPIE web account here: spie.org/account/login. Click on your first name initial at the top of the screen, then select Account Details. Your SPIE ID is displayed at the top, next to the words My Account.

I know my credentials but cannot log in.

  • Please click on the Sign In without your password button on the spie.org/account/login page and we'll email you a verification code to login without your password. If you still cannot access your account, please contact Customer Service via email customerservice@spie.org or at +1 360 676 3290/+1 888 504 8171 (toll free).

I forgot my username or password.

  • Sign In without your password by clicking the button on the spie.org/account/login page and we'll email you a verification code. You may also use the Forgot your username? or Forgot your password? links on the login page located here: spie.org/account/login to be emailed your credentials to the address on file.

How do I change my username or password?

  • Log in to your SPIE web account here: spie.org/account/login. Click on your first name initial at the top of the screen, then select Account Details. From there you have the option to change your username or password. After changing your password, wait two minutes before signing in again. This will allow time for our system to update your record to the new password.

How do I change my address or contact information?

  • Log in to your SPIE web account here: spie.org/account/login. Click on your first name initial at the top of the screen, then select Account Details. Under the heading Account Settings there are options to update associated account contact information.

I did not receive my password reset email.

  • Please check your junk/spam folder. If the email is not there, please contact Customer Service at +1 360 676 3290/+1 888 504 8171 (toll free), or email customerservice@spie.org.

How do I create a SPIE.org profile?

  • Log in to your SPIE web account here: spie.org/account/login. Click on your first name initial at the top of the screen, then select Account Details. Under the heading SPIE Profile section, click Edit your SPIE profile.

I would like to delete my account or obfuscate my personal data.

  • If you wish to delete certain personal data collected by SPIE, please contact SPIE at customerservice@spie.org. We will respond to requests to access or delete your personal data within one month. Our full privacy policy is available at SPIE Privacy Policy.
